Booking Terms & Conditions

These Booking Terms & Conditions apply to all bookings made directly with Quarterland Bay Lodge or through an authorised booking platform.

By making a booking, the person making the booking (“the Lead Guest”) confirms that they have read, understood and agree to these Terms & Conditions on behalf of all members of their party.

1. Making a Booking

The person making the booking must be 18 years of age or over and is responsible for providing accurate booking information.

The Lead Guest is responsible for ensuring that all members of their party, visitors and approved suppliers comply with these Terms & Conditions and the Quarterland Bay Lodge Guest Policies.

A booking is confirmed once the required payment has been received and a booking confirmation has been issued.

2. Payment Terms

The Lodge & Shepherd’s Hut

  • 30% deposit is required at the time of booking.
  • The remaining balance is payable 30 days before arrival.
  • Any booking made within 30 days of the arrival date must be paid in full at the time of booking.

If the balance is not received by the required due date, Quarterland Bay Lodge reserves the right to cancel the booking in accordance with these Terms & Conditions.

Campsite

  • Full payment is required at the time of booking.
  • Campsite bookings are non-refundable.
  • Campsite bookings cannot be transferred to alternative dates once confirmed.

3. Minimum Stay

The Lodge has a minimum stay of two consecutive nights, unless otherwise agreed in advance with Quarterland Bay Lodge.

4. Security Deposit

A security deposit is required as a precaution against damage, breakages, loss, excessive cleaning or other additional costs arising during your stay.

The security deposit is a pre-authorisation/card hold and is not a payment.

The security deposit will normally be pre-authorised 7 days before arrival.

Provided there are no outstanding charges, damage, breakages, missing items or other issues, the hold will normally be released 5 days after departure.

The time taken for funds to become available again may vary depending on the guest’s card issuer or bank and is outside our control.

Where damage, loss, excessive cleaning or other additional costs arise, Quarterland Bay Lodge reserves the right to retain the appropriate amount from the security deposit.

Where costs exceed the security deposit, the Lead Guest remains responsible for the additional amount.

5. Cancellation Policy

Lodge & Shepherd’s Hut

Where a booking is cancelled 10 days or more before the arrival date, the booking payment will be refundable, less a £15 administration fee.

Bookings cancelled within 10 days of the arrival date are non-refundable.

Campsite

All Campsite bookings are non-refundable.

Full payment is required at the time of booking.

Campsite bookings cannot be transferred to alternative dates once confirmed.

Special Offers & Promotional Rates

Different cancellation terms may apply to promotional rates, special offers, events, packages or third-party bookings.

The cancellation terms applicable to the booking will be those confirmed at the time of booking.

We strongly recommend that guests take out appropriate travel insurance.

6. Changes to a Booking

Requests to change the dates, accommodation, number of guests or other booking details must be made in advance and are subject to availability.

Any change may result in a change to the booking price.

Quarterland Bay Lodge cannot guarantee that requested changes will be possible.

The Lead Guest remains responsible for ensuring that the booking does not exceed the maximum permitted occupancy.

7. Occupancy

The maximum occupancy of The Lodge is 24 guests.

The maximum occupancy of the Shepherd’s Hut is 3 guests.

Only the number of guests stated on the booking may stay overnight unless prior written approval has been obtained from Quarterland Bay Lodge.

Additional overnight guests are not permitted without prior approval.

8. Visiting Guests

Visiting guests may be permitted at The Lodge with prior notification and approval from Quarterland Bay Lodge.

£75 charge per visiting guest will apply.

The number of visiting guests must be agreed in advance.

All visitors must comply with the Quarterland Bay Lodge Guest Policies and House Rules and must leave the property at the agreed time.

The Lead Guest is responsible for the conduct of all visitors.

Unauthorised visitors may be refused entry to the property.

9. Check-in & Check-out

Standard check-in times are:

  • The Lodge: 3:00pm
  • Shepherd’s Hut: 3:00pm
  • Campsite: 1:00pm

Check-out times will be provided in your booking information.

Early check-in or late check-out may be available by prior arrangement and may incur an additional charge.

Unauthorised early arrival or late departure may result in an additional charge.

10. Events & Celebrations

Quarterland Bay Lodge welcomes celebrations, hen parties, family gatherings, retreats and private events where these have been agreed in advance with Quarterland Bay Lodge.

Any event, celebration or gathering involving additional guests or attendees must be discussed with and approved by Quarterland Bay Lodge before the event takes place.

The agreed number of attendees must not be exceeded.

The Lead Guest is responsible for the conduct of all attendees associated with their booking.

Unauthorised parties, events or gatherings are not permitted.

11. External Suppliers & Service Providers

Any external supplier or service provider attending the property must be approved in advance by Quarterland Bay Lodge.

This includes, but is not limited to:

  • Musicians and entertainers
  • Photographers
  • Therapists
  • Caterers
  • Event suppliers
  • Other service providers

It is the responsibility of the Lead Guest to provide Quarterland Bay Lodge with the details of any external suppliers or service providers attending the property and to ensure that all required information and documentation is submitted before their arrival.

Where requested, external suppliers must complete the required forms and provide evidence of appropriate public liability insurance before attending the property.

Chefs

Only chefs approved and provided by Quarterland Bay Lodge are permitted to provide catering or prepare food within The Lodge.

Quarterland Bay Lodge reserves the right to refuse access to any supplier who has not received prior approval or where the required information or documentation has not been provided.

12. Pets

Pets are not permitted in The Lodge under any circumstances.

Pets may be permitted at the Shepherd’s Hut and Campsite, subject to availability and the applicable pet requirements.

Guests are responsible for any damage or additional cleaning caused by an approved pet.

13. Damage, Breakages & Additional Charges

Guests are responsible for taking reasonable care of the property, its contents, facilities and grounds.

Any damage or breakages should be reported to Quarterland Bay Lodge as soon as possible.

Additional charges may apply for:

  • Damage to the property or its contents
  • Breakages
  • Missing items
  • Lost keys or access devices
  • Damage to outdoor equipment
  • Excessive cleaning
  • Misuse of facilities
  • Failure to comply with the House Rules
  • Other reasonable costs arising from the guest’s stay

Where appropriate, these costs may be deducted from the security deposit.

Where the costs exceed the security deposit, the Lead Guest remains responsible for the outstanding amount.

14. Spa & Wellness Cleaning Charge

Our hot tubs, saunas and steam room are prepared to the highest standard before each arrival.

All topical products, including make-up, false tan, body oils, creams and similar products, must be completely removed before entering the hot tubs, saunas or steam room.

Failure to comply may result in contamination of the facilities, additional cleaning, water treatment or replacement of filters.

A £195 cleaning charge will apply where additional cleaning, treatment or replacement of filters is required as a result of failure to comply with this requirement.

This charge may be deducted from the security deposit.

15. Cleaning Requirements

Guests are expected to leave the property in a reasonably clean and tidy condition.

Before departure:

  • All dishes, glasses, cutlery, pots and pans must be washed and put away.
  • No dishes are to be left in the dishwasher, either clean or dirty.
  • Kitchen equipment must be returned to its designated place.
  • Furniture and equipment should be returned to their original positions.

Excessive cleaning resulting from unreasonable use of the property or failure to follow the cleaning requirements may result in an additional charge.

16. House Rules

Guests must comply with the Quarterland Bay Lodge House Rules throughout their stay.

In particular:

  • Smoking and vaping are not permitted inside The Lodge.
  • Maximum occupancy limits must be respected.
  • Excessive noise and anti-social behaviour are not permitted.
  • Outdoor music must not be played after 10:30pm.
  • Furniture and equipment must not be moved without permission.
  • Facilities must be used responsibly and in accordance with instructions.
  • Children must be appropriately supervised around spa facilities, water and outdoor equipment.
  • Unauthorised parties or events are not permitted.

Serious or repeated breaches may result in the termination of the stay.

17. Campsite Bookings

Campsite bookings are subject to the specific campsite rules and pitch restrictions provided at the time of booking.

The campsite is tent-only, unless otherwise stated.

Full payment is required at the time of booking.

All Campsite bookings are non-refundable.

Guests must comply with all campsite rules relating to noise, fires, BBQs, vehicles, waste, pets, occupancy and use of facilities.

18. CCTV & Security

Quarterland Bay Lodge operates CCTV in selected communal and external areas for safety, security and the protection of guests, staff and property.

CCTV is installed and operates in selected communal and external areas, which may include:

  • Halls and communal areas
  • The kitchen
  • Games room
  • External areas

CCTV cameras are not located in bedrooms, bathrooms, changing areas or other areas where guests would reasonably expect privacy.

CCTV footage may be retained and accessed only for legitimate safety, security, incident investigation or legal purposes and will be handled in accordance with our Privacy Policy and applicable data protection legislation.

19. Liability

Guests use the property, facilities, equipment and grounds at their own risk and are responsible for taking reasonable care of themselves and members of their party.

Quarterland Bay Lodge will take reasonable steps to ensure that the accommodation and facilities are maintained to an appropriate standard.

Guests are responsible for supervising children and vulnerable persons, particularly around water, spa facilities, outdoor areas, equipment and other potentially hazardous areas.

Quarterland Bay Lodge will not be responsible for loss, damage, injury or inconvenience except where liability arises that cannot legally be excluded or limited.

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited.

20. Force Majeure

Quarterland Bay Lodge will not be liable for failure or inability to provide accommodation or services due to circumstances beyond our reasonable control.

This may include, but is not limited to:

  • Severe weather
  • Flooding
  • Fire
  • Utility failure
  • Government restrictions
  • Natural disasters
  • Industrial action
  • Other unforeseen circumstances

Where such circumstances arise, we will communicate with affected guests and make reasonable efforts to assist.

21. Right to Refuse or Terminate a Stay

Quarterland Bay Lodge reserves the right to refuse a booking or terminate a stay where:

  • False or misleading information has been provided.
  • Maximum occupancy is exceeded.
  • An unauthorised event or gathering takes place.
  • Guests engage in threatening, abusive or anti-social behaviour.
  • Serious damage is caused to the property.
  • Guests seriously breach these Terms & Conditions or the House Rules.
  • Guests or visitors fail to comply with reasonable instructions from Quarterland Bay Lodge.

Where a stay is terminated due to a serious breach by the guest, no refund will normally be provided, and the guest may remain responsible for any resulting costs or damage.

22. Privacy & Personal Information

Personal information provided during the booking process will be handled in accordance with our Privacy Policy.

Information may be used to administer bookings, process payments, communicate with guests, manage security deposits and meet legal and operational requirements.

23. Cookies

Our website may use cookies and similar technologies.

Further information about how cookies are used and how you can manage them is provided in our separate Cookie Policy.

24. Complaints

We want all guests to have an enjoyable stay.

If you experience a problem during your stay, please contact us as soon as possible so that we have a reasonable opportunity to investigate and, where possible, resolve the issue.

Complaints raised after departure may be more difficult to investigate and resolve.

25. Governing Law

These Terms & Conditions are governed by the laws of Northern Ireland.

Any disputes arising from a booking or stay will be subject to the applicable courts of Northern Ireland.

26. Acceptance of Terms

By completing a booking with Quarterland Bay Lodge, the Lead Guest confirms that they:

  • Have read and understood these Booking Terms & Conditions.
  • Agree to comply with them.
  • Accept responsibility for all members of their party.
  • Accept responsibility for any approved visitors or external suppliers associated with their booking.

Quarterland Bay Lodge reserves the right to update these Terms & Conditions from time to time. The Terms & Conditions applicable to a booking will be those in force and accepted at the time the booking is made, subject to any changes required by law.
