Guest Policies

At Quarterland Bay Lodge, we want all our guests to enjoy a safe, comfortable and memorable stay. The following policies apply to all guests, visitors and approved external suppliers using the property and its facilities.



1. House Rules

Guests are expected to treat Quarterland Bay Lodge, its facilities, furnishings and surrounding grounds with care and respect.

Noise & Music

  • Guests must respect our neighbours and the surrounding area.
  • Excessive noise and anti-social behaviour are not permitted.
  • Outdoor music must not be played after 10:30pm.
  • Guests are expected to keep noise to a reasonable level at all times.

Smoking & Vaping

Smoking and vaping are not permitted inside The Lodge.

Property & Equipment

Guests must take reasonable care of all furniture, equipment and facilities.

Furniture or equipment must not be moved without prior permission.

Any damage or breakages should be reported to us as soon as possible.



2. Cleaning Policy

The Lodge is professionally cleaned and prepared prior to your arrival.

We ask guests to leave the property in a reasonably clean and tidy condition.

Before departure:

  • All dishes, glasses, cutlery, pots and pans must be washed and put away.
  • No dishes are to be left in the dishwasher, either clean or dirty.
  • Kitchen equipment and utensils must be returned to their designated places.
  • Furniture and equipment should be returned to their original positions.
  • The property should be left in a generally clean and tidy condition.

Guests are not required to remove rubbish from the property.

The standard cleaning service covers normal departure cleaning. Where excessive cleaning is required due to unreasonable use of the property or failure to follow these requirements, an additional charge may be made against the security deposit.



3. Spa & Wellness Policy

Our hot tubs, saunas and steam room are prepared to the highest standard before your arrival.

To protect the water quality, filtration systems and equipment:

STRICTLY

All topical products, including make-up, false tan, body oils, creams and similar products must be completely removed before entering the hot tubs, saunas or steam room.

Failure to comply can contaminate the facilities and may require additional cleaning, water treatment or replacement of filters.

£195 Cleaning Charge

A £195 cleaning charge will apply where additional cleaning, treatment or replacement of filters is required as a result of failure to comply with this requirement.

This charge may be deducted from the security deposit.

Guests must follow all instructions provided for the safe use of the spa and wellness facilities.

Guests use the facilities at their own risk.

Children must be appropriately supervised at all times.



4. Visiting Guests Policy

Visiting guests may be permitted at The Lodge with prior notification and approval from Quarterland Bay Lodge.

£75 charge per visiting guest will apply.

The number of visitors must be agreed with us in advance.

All visiting guests must comply with the Quarterland Bay Lodge House Rules and must leave the property at the agreed time.

The Lead Guest is responsible for the conduct of all visitors.

Unauthorised visitors may be refused entry to the property.

 



5. Events & Celebrations Policy

Quarterland Bay Lodge welcomes celebrations, hen parties, family gatherings, retreats and private events where these have been agreed in advance with Quarterland Bay Lodge.

Any event or gathering involving additional guests or attendees must be discussed with us and approved before the event takes place.

The agreed number of attendees must not be exceeded.

The Lead Guest is responsible for the conduct of all attendees and for ensuring that the property and its facilities are treated with care.

Unauthorised events or gatherings are not permitted.

 



6. External Suppliers & Service Providers Policy

Any external supplier attending Quarterland Bay Lodge must be approved in advance.

This includes, but is not limited to:

  • Musicians and entertainers
  • Photographers
  • Therapists
  • Caterers
  • Event suppliers
  • Other service providers

Where requested, external suppliers must complete the required forms and provide appropriate public liability insurance before attending the property.

Chefs

Only chefs approved and provided by Quarterland Bay Lodge are permitted to provide catering or prepare food within The Lodge.

Quarterland Bay Lodge reserves the right to refuse access to any supplier who has not received prior approval or provided the required documentation.



7. Pets Policy

Pets are not permitted in The Lodge under any circumstances.

Pets may be permitted at the Shepherd’s Hut and Campsite, subject to availability and the applicable pet requirements.

Any damage or additional cleaning caused by an approved pet may be charged to the guest.



8. Campsite Policy

Campsite bookings are subject to the specific campsite rules and pitch restrictions provided at the time of booking.

The campsite is tent-only, unless otherwise stated.

Payment

Full payment is required at the time of booking.

Refunds

Campsite bookings are non-refundable.

Campsite bookings cannot be transferred to alternative dates once confirmed.

Guests must comply with all campsite requirements relating to:

  • Noise
  • Fires and BBQs
  • Vehicles
  • Waste
  • Pets
  • Occupancy
  • Use of facilities


9. Security Deposit Policy

A security deposit is required for applicable bookings as a precaution against damage, breakages, loss, excessive cleaning or other additional costs.

The security deposit is a pre-authorisation/card hold and is not a payment.

The deposit will normally be pre-authorised 7 days before arrival.

Provided there are no outstanding charges, the hold will normally be released 5 days after departure.

Where damage, breakages, missing items, excessive cleaning or other additional costs arise, the appropriate amount may be retained.



10. CCTV Policy

Quarterland Bay Lodge operates CCTV for the safety and security of our guests, staff, visitors and property.

CCTV Locations

CCTV operates in selected communal and external areas.

Inside:

  • Halls and communal access areas
  • Kitchen
  • Games Room

Outside:

Selected external areas around the property.

Private Areas

No CCTV cameras are installed in bedrooms, toilets, bathrooms or changing areas.

Cameras are positioned to avoid unnecessarily capturing private areas wherever reasonably possible.

Purpose

CCTV is used for legitimate safety and security purposes, including:

  • Guest safety
  • Property protection
  • Prevention of theft or vandalism
  • Investigation of incidents

Retention

CCTV recordings are normally retained for 14 days and are automatically overwritten thereafter unless required for an investigation, insurance matter, complaint or legal purpose.

Access to recordings is restricted to authorised personnel.
